Terms & Conditions
Privacy Policy
1. Scope of This Policy
Families of Virtue Ministries Inc. (“FOV”) administers the Institute for Christian Apologetics (“ICA”) in operational partnership with Southern Evangelical Seminary and Bible College (“SES”).
This Privacy Policy explains how information is collected, used, maintained, and shared when you use the ICA website, learning platform, digital community, mobile applications, courses, workshops, and live sessions collectively referred to as the “Services.”
2. Age Requirements
ICA does not permit anyone under 13 years of age to create or use an account.
Users ages 13–17 may create or use an account only with the authorization and supervision of a parent or legal guardian. The parent or guardian must review and accept the ICA Terms and Conditions and this Privacy Policy on the minor’s behalf.
Guardian authorization includes consent to the collection and use of the minor’s information as described in this Policy, including participation in recorded live sessions.
If ICA learns that an account has been created for someone under 13, ICA may close the account and delete the associated information, subject to applicable legal and recordkeeping requirements.
3. Information We Collect
ICA may collect the following types of information:
- Account and contact information: Your name, email address, account identifiers, contact preferences, and information submitted through registration forms, applications, surveys, or support requests.
- Guardian information: A parent’s or legal guardian’s name, contact information, and authorization when the participant is under 18.

- Live-session information: A participant’s name, display name, image, voice, chat messages, shared screen content, questions, comments, and other contributions captured during a recorded session.
- Technical information: Internet Protocol address, browser and device information, login activity, platform activity, cookies, and similar technical information collected through the website or service providers.
Community posts and workshop contributions may be visible to other members, mentors, facilitators, or ICA personnel. Participants should not include sensitive personal information in community discussions or workshop submissions unless it is necessary and appropriate.
4. How We Use Information

5. Live-Session Recordings
ICA live workshop and cohort sessions are recorded unless ICA expressly announces otherwise.
Recordings may include a participant’s name, display name, image, voice, chat messages, screen content, questions, comments, and other contributions.
Recordings may be:
- Added to the applicable ICA course or workshop.
- Made available to participants who could not attend the original session.
- Used by current and future asynchronous or synchronous ICA participants.
- Reviewed for educational quality, mentor support, training, or administration.
By participating in a recorded session, an adult participant consents to these uses. For participants ages 13–17, the required parent or legal guardian authorization includes consent to the recording and its use within ICA.
ICA will obtain a separate media or publicity release before using an identifiable participant’s recording in public advertising or promotional materials when additional permission is required.
Participants with concerns about appearing in a recording should contact ICA before attending the session to discuss available participation options.
6. How We Share Information
ICA does not sell or rent personal information. ICA also does not provide personal information to unrelated institutions for their independent use or advertising.
Information may be accessed or used within ICA by authorized FOV and SES personnel for legitimate ICA administrative and educational purposes.
ICA may also provide limited access to:
- Mentors and facilitators: Authorized mentors and facilitators may receive the information reasonably necessary to conduct workshops, communicate with participants, review assignments, or facilitate live sessions.
- Service providers: FreshLearn, Zoom, payment processors, website hosts, email or customer-management providers, mobile-application providers, data-storage providers, and other technical vendors may process information on ICA’s behalf. These providers receive only the access reasonably necessary to supply their services.
- Legal or safety authorities: Information may be disclosed when required by law, court order, or other valid legal process, or when reasonably necessary to protect ICA, FOV, SES, participants, or others from fraud, abuse, security threats, or unlawful conduct.
Service providers process information to support ICA operations. They are not authorized by ICA to use member information for an unrelated institutional purpose.
7. Cookies and Third-Party Services
The ICA website and its service providers may use cookies and similar technologies to maintain login sessions, remember preferences, measure platform use, improve performance, and protect account security.
You may control certain cookies through your browser settings. Disabling cookies may prevent some parts of the Services from operating properly.
ICA relies on third-party platforms such as FreshLearn, Zoom, and payment processors. Those providers maintain their own privacy policies and security practices. Information may be processed in the United States or in other locations where these providers operate.
8. Data Retention and Security
ICA retains information for as long as reasonably necessary to:
- Provide the Services.
- Administer accounts, purchases, and memberships.
- Maintain educational and completion records.
- Preserve workshops and related recordings.
- Meet legal, financial, administrative, and security obligations.
- Resolve disputes and enforce agreements.
Live-session recordings may be retained for as long as the associated workshop remains part of ICA’s educational offerings or for another legitimate educational, archival, administrative, or legal purpose.
Closing an account does not necessarily require ICA to delete a participant’s appearance or contributions from previously created workshop recordings, community discussions, or educational records when continued retention is reasonably necessary or legally permitted.
ICA uses reasonable administrative and technical safeguards designed to protect personal information. However, no internet transmission, platform, or storage system can be guaranteed to be completely secure.
9. Your Choices and Requests
You or, when applicable, your parent or legal guardian may contact ICA to request:
- Access to information associated with your account.
- Correction of inaccurate account information.
- Deletion of eligible information.
- Closure of your account.
- Changes to communication preferences.
ICA may take reasonable steps to verify the identity and authority of the person making a request. Certain information may be retained when reasonably necessary for legal compliance, financial records, educational records, workshop archives, security, dispute resolution, or enforcement of ICA agreements.
Administrative messages concerning accounts, transactions, security, or active workshops cannot always be declined while the related account or service remains active. Promotional communications will include an available means of unsubscribing when applicable.
10. Changes to This Policy
ICA may revise this Privacy Policy to reflect changes in its programs, platforms, practices, or legal obligations.
The revised Policy will be posted with an updated effective date. ICA may provide additional notice when a change materially affects how personal information is collected, used, or shared.
